RFQ comparison cycle cut 60%, annual procurement savings target hit a quarter early

The procurement team handles more than ten thousand RFQ lines a year. Price comparison meant collating emails and Excel files by hand, and supplier qualification took weeks. Management wanted 5% procurement savings within the year, but buyers were already carrying more part numbers than they could manage.

At the same time the company was rolling out tiered supplier management and needed to pull performance data scattered across quality, delivery and finance systems into one supplier profile.

We built around the buyer's daily work: a sourcing assistant and a supplier profile Agent, piloted on electronic components and then extended to mechanical parts and packaging.

• Sourcing assistant: parses RFQ emails and quotations, builds the comparison table and difference notes automatically, and flags abnormal quotes
• Supplier profile: combines defect rates, on-time delivery, payment terms and audit records into a tiering recommendation
• Negotiation prep: proposes a target price range and talking points from historical deal prices and market data
• Every recommendation cites its data source, so a buyer can trace it back to the original document

A multimodal model parses PDF and image attachments in quotations; prices and terms are extracted into structured tables. SRM and ERP are synced through read-only interfaces, and negotiation briefs are generated inside the internal network with no external data sources.
