Manufacturing
First draft of a bid from 3 days to 4 hours, missed technical deviations down to zero
Industrial equipment manufacturer: bid and proposal Agents that let sales engineers submit three more bids a week
Challenge
Every bid meant pulling technical parameters and commercial terms out of tender documents hundreds of pages long, then assembling past proposals. Sales engineers spent half their time writing bids, and in peak season often dropped tenders they could not finish in time. A missed line in a technical deviation table had once disqualified a bid.
The company wanted to double its bidding capacity and turn past winning proposals into a reusable asset.
Approach
We split bidding into three steps, reading the tender, answering it and reviewing the bid, with one Agent for each, running inside the collaboration tools the sales engineers already used.
- Read: technical parameters, qualification requirements, scoring rules and deadlines are extracted automatically into a bid checklist
- Answer: a first draft of the technical proposal and commercial response is generated from the proposal library and product specification sheets, mapped line by line to the tender requirements
- Review: the technical deviation table and qualification checklist are generated automatically, with gaps highlighted
- The proposal library is tagged by industry and equipment type, and every winning proposal is archived automatically
Architecture highlights
Tender parsing keeps page references, so every response can be traced to the tender text. Past proposals are anonymized before entering the library, and pricing sections never enter the model context.
Customer feedback
Bids used to wait for people. Now bids wait for review. We bid on more, and our win rate held.
