First-pass contract review from 2 hours to 15 minutes, one review standard across the group

Equipment manufacturing group: contract review and document review Agents in the production workflow

Challenge

The group signs thousands of procurement and sales contracts a year, and a legal team of 12 handles every first-pass review. Subsidiaries applied different review standards, so the same risk was handled differently in different units. Compliance review of outbound documents (policies, notices, marketing materials) likewise depended on individual experience.

Management wanted to shorten the review cycle without adding headcount, and to codify the review standard.

Approach

We started with two high-frequency use cases in the legal department: contract review and document review. The FDE team spent 4 weeks on site turning the group's review checklist into a rule base and calibrating it on real contracts.

  • The contract review Agent covers procurement, sales and service contracts, producing an annotated draft and a written opinion
  • The document review Agent connects to the policy library to check that cited documents are still valid and to flag conflicting wording
  • Both Agents are integrated into the group's OA approval flow, so legal staff use them from their existing interface
  • The rule base was updated 4 times from legal feedback within 3 months of go-live

Architecture highlights

Deployed on-premises in the group's VPC, with dual model routing: a self-hosted open-source model plus an enterprise public-cloud API. Any task touching contract text runs on the self-hosted model; general text tasks are routed by cost. No contract text leaves the group's network boundary.

Customer feedback

The rule base is our own review standard. The Agent just applies it faster and more consistently.
